Litigation Legal Secretary (New York City)

We are seeking an experienced, detail-oriented Litigation Secretary to support the Firm’s Construction and Infrastructure Litigation Groups. The Litigation Secretary will be responsible for providing case management, administrative and secretarial support to assigned attorneys. The ideal candidate will have extensive construction claims experience, a working knowledge of the Federal, State and County court systems and be proficient with the Microsoft Office suite, including strong Microsoft Word skills. This position will be 4-5 days on-site in our New York City office and will report to the Legal Support Services Supervisor.

The hourly range for the position of Legal Secretary at Nossaman is approximately $46.15 to $64.10 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $90,000 and $125,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.

Key Responsibilities

  • Execute precise e-filings across New York State, Federal and Appellate courts, ensuring strict adherence to specific jurisdictional rules and deadlines
  • Format and finalize high-volume legal documents, including pleadings, briefs and appellate filings, featuring automated Tables of Contents and Tables of Authorities
  • Collaborate closely with the Docketing team to monitor and meet all court-mandated and discovery-related dates
  • Lead the conflict check process, prepare engagement letters and maintain digital case files in compliance with firm-wide Information Governance policies
  • Maintain case management of client files adhering to the Firm’s Information Governance policies and administrative best practices
  • Manage calendar, travel and support logistics for meetings, depositions, mediations, arbitrations and trials, including venue arrangements and necessary services (e.g., catering, technology, court reporters)
  • Strategically delegate administrative tasks to support staff and provide high-level backup for other litigation secretaries to maintain firm-wide productivity

Experience & Qualifications

  • High School Diploma or equivalent is required, Bachelor’s degree preferred
  • A minimum of five to seven years of litigation secretary experience directly supporting fast-paced litigation attorneys is required. Previous experience supporting construction litigation claims experience is preferred
  • Recent experience and strong working knowledge of legal terminology, legal and court proceedings, including State and Federal court filing processes/systems
  • Extensive experience with managing tracked changes, formatting complex, multi-paged documents, such as pleadings, briefs, tables of contents, tables of authorities and liens
  • Experience supporting multiple attorneys simultaneously
  • Strong ability to multi-task, prioritize work and communicate workload challenges to attorneys and/or administrative manager
  • Advanced knowledge of Microsoft Office and various legal software applications (e.g., iManage, Litera Compare, ChromeRiver, etc.)
  • Superior communication and interpersonal skills, enabling credible and diplomatic interactions with all levels of the Firm and clients and effective collaboration
  • Exceptional organizational, grammar, spelling and proofreading skills to support fast-paced administrative responsibilities
