Practice Group Coordinator – Environment & Land Use, Eminent Domain & Valuation (Orange County)

We are seeking an experienced Practice Group Coordinator for an exciting opportunity to support attorneys in two of our prominent practice groups, Environment & Land Use and Eminent Domain & Valuation, and to work closely with the respective Group Chairs. This position is responsible for a broad range of administrative and operational duties, including advancing key initiatives and working with the Firm’s administrative departments in a liaison role to communicate the needs and plans of the groups. The Practice Group Coordinator position will require physical presence in the Orange County office at least two (2) days per week, pursuant to the Firm’s remote work policy, and reports to the Practice Support Services Director. 

The hourly range for the position of Practice Group Coordinator at Nossaman is approximately $30.76 to $41.02 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $60,000 and $80,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.

Key Responsibilities:

  • Provide Practice Group meeting support – help to draft agendas, schedule meetings, reserve meeting rooms and technology needs, order food, prepare/circulate materials, taking notes during meetings and circulating action items as needed.
  • Training support – help to coordinate topics and speakers for associate and group trainings, schedule trainings, reserve rooms and technology needs, order food and prepare/circulate materials.
  • Track Practice Group decisions and action items, including sending reminders to group members.
  • Track business development pursuits and update in a timely manner to measure against Practice Group goals.
  • Help to manage the process for developing Practice Group business plans, making edits to the plans and tracking progress on goals/objectives.
  • Help with the Practice Group budgeting/projections process and track the budget/projections throughout the year, reporting in to Group Chairs on budget variances and key expenditures.
  • Review the monthly Practice Group financial report package and flag issues and KPIs for the Group Chairs.
  • Assist with client billing, ensuring that rates are correct and time entries are entered accurately and in accordance with Firm-established procedures.
  • Maintain client engagement database, including relevant dates/expirations, rates and any provisions.
  • Maintain the Practice Group internal intranet page and client-facing website pages.
  • Maintain and update a working database of key forms and templates for Practice Groups’ use.
  • Maintain client and industry contact mailing lists.
  • Maintain a calendar of key dates for practice group events, conferences, projects, etc.
  • Coordinate quarterly meetings between Group Chairs and team members.
  • Identify opportunities for cross-collaboration with other Practice Groups.
  • Help to coordinate strategic partner and industry initiatives.
  • Help to coordinate open house, webinar and other client-facing initiatives or events.
  • Read industry news and coordinating with business development pursuits process.
  • Handle ad hoc Practice Group projects/initiatives.

Experience & Qualifications:

  • Bachelor's Degree, or equivalent experience, is required.
  • 3 - 5+ years of relevant work experience in a professional services environment is required; prior work history in law firm operations is highly preferred.
  • Advanced technical skills within Microsoft Office suite, as well as proven ability to quickly learn other applications as needed.
  • Working knowledge of electronic document management systems is preferred.
  • Superior communication and interpersonal skills to effectively communicate with personnel at all levels of the Firm.
  • Strong writing and proofreading skills, including proven ability to effectively organize and present information in various formats.
  • Ability to exercise independent judgment and a proven ability to successfully prioritize and meet deadlines.
  • Ability to set goals, create work plans and generate positive outcomes.
  • Proven ability to maintain confidentiality of all facets of assigned work with a high level of integrity, diplomacy, and discretion.Exceptional organizational, grammar, spelling and proofreading skills, with an eye for detail.
