Legal Administrative Assistant (New York City)
We are seeking a highly organized and detail-oriented Legal Administrative Assistant to support a growing litigation practice in our New York City office. The successful candidate will be a proactive problem-solver who takes ownership of assignments, learns quickly and thrives in a collaborative office environment. This position will be 4-5 days on-site in our New York City office and will report to the Legal Support Services Supervisor.
The hourly range for the position of Legal Administrative Assistant at Nossaman is approximately $25.65 to $30.77 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $50,000 and $60,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.
Key Responsibilities
- Provide administrative and litigation support to attorneys
- Prepare, revise, proofread and format legal documents, correspondence and pleadings
- Manage electronic files and document organization within the firm's document management systems
- Assist with client matter intake and file setup
- Coordinate attorney calendars and deadlines
- Prepare and organize PDF exhibits, including page management and bookmarking
- Maintain accurate matter records and assist with billing-related administrative tasks
- Review documents carefully for formatting, grammar, consistency and completeness
- Develop familiarity with active matters and take a proactive approach to supporting attorneys and advancing work efficiently
- Assist with special projects and additional assignments as needed, including litigation-related tasks
Experience & Qualifications
- Bachelor's degree required
- One to three years of professional office experience preferred
- Prior law firm experience is a plus but not required
- Excellent grammar, proofreading and written communication skills
- Strong organizational skills and attention to detail
- Advanced Microsoft Word skills and proficiency in Microsoft Office applications
- Ability to manage multiple priorities and deadlines
- Strong work ethic, reliability and commitment to professionalism
- Demonstrated ability to learn new systems and processes quickly
