Marketing & Events Specialist (Orange County)

We are seeking a detail-oriented Marketing & Events Specialist for our Orange County office to play an integral role in the Firm's regional and firm-wide marketing and visibility efforts. The primary function of the Marketing & Events Specialist is to lead the planning and execution of the Firm’s client-facing events, including webinars, in-person seminars, receptions, sponsorships and other events tied to key Firm strategic initiatives.  

In addition to handling event logistics, this position will provide post-event insights and reporting, and lead event debriefs to determine ROI. This position will also support other strategic projects and initiatives for the Marketing Team, such as brand management, content marketing and external marketing communications. The Marketing & Events Specialist will work closely and collaborate with others in the Business Development Department, practice groups, individual attorneys and staff to achieve Firm goals. The position reports to the Firm's Marketing Director. 

The hourly range for the position of Marketing & Events Specialist at Nossaman is approximately $41.03 to $46.16 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $80,000 and $90,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.

Key Responsibilities

  • Lead the planning and execution of in-person and virtual events from start to finish, including pre- and post-event collaboration with the Business Development Team and relevant attorneys
  • Prepare and maintain event checklists and budgets to ensure event preparations are consistently on track and on budget
  • Create invitations and registration forms and provide consistent RSVP tracking reports to key event stakeholders
  • Manage all event logistics with internal teams or offsite vendors, including venue, food and beverage and A/V
  • Lead the creation of all event materials, such as PowerPoint presentations, handouts, signage and giveaways
  • Create and maintain event mailing lists in InterAction (CRM)
  • Partner with the Firm’s Recruiting & Development Team on CLE accreditation
  • Ensure all attorneys, policy advisors and on-the-ground staff are fully briefed and prepped for the event
  • Serve as the main point of contact for day-of event logistics, including event setup and breakdown, registration and speaker coordination
  • Create timely, post-event reports to track attendance, engagement and attendee feedback
  • Identify and develop improved event processes to increase event management efficiencies, reduce costs and increase attendee engagement
  • Maintain the Firm’s event calendar
  • Coordinate deliverables for Firm-wide and practice-specific sponsorships, including delivery of logos and advertising and booth/exhibiting logistics
  • Assist with graphic design requests as needed
  • Provide general support to the Business Development Department related to a wide array of projects/initiatives as needed

Experience & Qualifications

  • Bachelor's degree in Marketing, Business Administration, Hospitality or equivalent work experience, is required
  • 3-5 years of event planning is required; law firm or professional services background strongly preferred
  • Strong skillset focused on independent event planning and execution
  • Team player with an ability to work in a fast-paced and high-volume professional services environment
  • Ability to take ownership of projects, maintain superior project management and handle multiple, complex projects simultaneously
  • Strong problem-solving skills and the ability to proactively provide solutions to circumvent potential problems
  • Proficient in Microsoft Office Suite, including advanced skills in Excel and PowerPoint; InterAction or other CRM as well as Zoom Webinar experience preferred
  • Experience with Photoshop and InDesign or other graphic design software
  • Basic knowledge of HTML
  • Strong verbal and written communication skills and client service ethic
  • Exceptional time management and organizational skills
  • Strong work ethic with outgoing personality
  • Must be willing and able to work overtime and travel to events as necessary, with some evenings and weekends required
