Collections Assistant
We are seeking an experienced Collections Assistant to play an integral role in supporting the Firm’s Finance operations by helping manage outstanding receivables, communicating regularly with attorneys and clients and ensuring timely and accurate collection activity. Reporting to the Financial Operations Director, this role partners closely with Billing, Cash Receipts and practice support teams across the Firm. The position will be hybrid (onsite 2+ days per week) in our Los Angeles office.
The hourly range for the position of Collections Assistant at Nossaman is approximately $36.00 to $46.00 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $70,000 and $90,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.
Key Responsibilities
- Assist in managing the collections process for assigned partners, including monitoring aged A/R and performing timely follow-ups
- Communicate with clients via email and phone regarding outstanding invoices and payment timelines
- Prepare and analyze aging reports for attorneys, inventory managers and leadership
- Maintain clear collections notes and documentation in Aderant Expert
- Research billing discrepancies, resolve variances, and assist with short payments caused by e-billing reductions
- Support payment application, reduce unapplied/credit balances and assist with reconciliations
- Respond promptly to attorney inquiries and prepare financial summaries as needed
- Contribute to month-end, year-end, audit activities and special finance projects
Experience & Qualifications
- Bachelor’s degree required; business, accounting or finance preferred
- 1–3+ years of relevant experience in collections, A/R, billing or law firm finance
- Experience with Aderant Expert strongly preferred
- Strong Excel skills; PowerPoint a plus
- Excellent communication, organization and follow-through
- Strong critical thinking, problem solving and ability to meet deadlines
- Professional, polished and proactive with a commitment to client service
